Banking

The banking function allows onsite back of house operators to reduce the amount of money held onsite by creating a banking record. This process records funds removed from the safe and links them to the banking entry with the relevant references and bank details.

The banking section defines behaviour of banking, banking collection and change received activities.

Settings

When a company is selected the following table outlines each setting and its corresponding functionality.

Setting Description Additional Information
Change Received

This function enables onsite back of house operators to enter change that has been received into a site either through a secure delivery or where money has been collected and brought into the site where there was no direct exchange of notes for coins

Reference Mandatory

When enabled the back of house operator will be prompted to enter a mandatory reference during the change received process

 
Reference Mask

Change received can use a mask format to ensure that the reference is recorded in the expected format

  • Click Edit

  • Click any of the listed options to insert to build the mask

  • Additional manually entered text can also be entered into the mask format

 
Banking Collection

This function enables onsite back of house operators to enter a collection of banking where money was previously banked, this can be useful for both situation where banking is physically collected through a secure process or to record when money is taken to a bank

Reference Mask

Banking collection can use a mask format to ensure that the reference is recorded in the expected format

  • Click Edit

  • Click any of the listed options to insert to build the mask

  • Additional manually entered text can also be entered into the mask format

 
Reference Unique Within

The number of days will define how long before the same reference can be used

Reference 2

By default a reference is included for banking but a secondary reference can be enabled

  • Hidden - reference not displayed

  • Optional - reference displayed but optional for entry

  • Mandatory - a reference is required

Banking reference 2 can use a mask format to ensure that the reference is recorded in the expected format

  • Click Edit

  • Click any of the listed options to insert to build the mask

  • Additional manually entered text can also be entered into the mask format

 
Allow Banking Comments

When enabled back of house operators can enter an additional comment during banking

 

Adding Banks

When performing a banking a bank can be selected, multiple banks can be assigned to sites which enable them to choose a bank during the process, using banks is optional but it will enable the definition of the default reference mask.

Follow these steps to add banks:

  1. Click Add

  2. Enter the following details

    • Display Name

    • Bank

    • Branch Name

    • Account Name

    • Account Number

    • Sort Code

  3. Optionally if a banking reference mask is required click Edit

    • Click any of the listed options to insert to build the mask

    • Additional manually entered text can also be entered into the mask format

    • Click OK

  4. Click Finish

  5. Optionally select a Default Bank from the drop down

    Additional settings can be applied for available banks at site level - Finance → Configuration → Estate Structure → Site Settings → Banking
